ELECTION GUIDE FOR MEMBER ORGANISATIONS

GLOBAL YOUNG GREEN ELECTIONS

This guide is designed to answer key questions about the GYG Steering Committee by-election of a Communications Coordinator from the Africa region, which is held online in autumn 2020.  Please find the documentation of this by-election here.

Survey Monkey – an anonymised online voting platform. 

  • How? 

Registered voting representatives will be sent a link to vote. 

  • Who?

Each GYG Member Organisation from the Africa region has 1 vote (equivalent to one voting representative)

  • What voting system?

Registered voting representatives are asked to give 1 vote to 1 candidate of their choice or select the “re-open election” field.



Who votes?

As stated in the GYG Organisational Principles, each GYG Member Organisation from the Africa region has 1 vote (equivalent to one voting representative)

Each Member Organisation is responsible for registering one person to vote on behalf of their organisation, this could be the Chair, International Secretary or Spokesperson, for example. For every voting representative, a reference/verification contact (a person other than the representative) needs to be provided at the registration to enable the Oversight Committee to verify the legitimacy of the registration.



How can I register to vote?

To register one voting representative for your organisation please fill out the registration survey until 27 November 2020, 23:59 UTC.

 

How can I register LATE to vote? (after 27 November 2020)

The voting representative registration is generally closed from 27 November onwards. However, if your organisation has not registered one person as a voting representative yet but would like to cast a vote, please fill out the registration form and contact oversightcommittee@globalyounggreens.org. The Oversight Committee then decides individually for each late registration whether it’s still possible to vote or if all representatives already voted and the Oversight Committee could therefore trace back your vote to you.



How do I vote?


  • Receive a link 

When the voting time frame (see table above) begins, the registered person to vote for your member organisation will receive an email including a link to the email address they provided at time of registration. 

The email with the link will be sent from the address “member@surveymonkeyuser.com”. Please also look into your spam folder for this important email.

The link will lead to an anonymised online election platform. After the vote is cast, the link is deactivated and the voting representative receives a confirmation email.



  • Cast the vote

There will be a period of ten days to cast your vote (see voting time frame in table above).

 

Gender quota

Please bear in mind that GYG Organisational Principles state that “at least one person [elected] from each region needs to define themselves as a woman, inter or trans person”, thus representatives from each region must be gender balanced. Since the second position of the Asia-Pacific region in the Steering Committee, which Janmejai holds, remains legitimately elected and he identifies himself as male, there is only a by-election for the other position and the call out is open only to persons who identify themselves as women, inter or trans.

 

Re-open Elections

When casting the vote, you will also get the option “re-open election”. This option advocates the re-opening of the election process. Organisations might vote for this option if they are not happy with the candidate selection available and would prefer to re-open elections for a different candidate selection.

In the case of “re-open election” receiving the highest number of votes, the region’s election is reopened.

 

Important: If you’re not sure whether or not you cast your vote effectively yet, you can click the voting link for a second time. You will only be able to access the voting page if you haven’t yet cast a vote. Furthermore, you should receive a confirmation email after successful voting.



  1. Counting the vote

The candidate who receives the most votes wins the election. 

In the event of a tie, all candidates with the highest number of votes will take part in a run-off (for which voting links will be sent out again to all registered voting representatives). This procedure is repeated in the (very unlikely) event of further ties until one person alone receives the highest number of votes.



When will we know the results?

The election results will most probably be announced on 10 December 2020 for the by-election of a Communications Coordinator of the Africa region.
